Preparing for a Carbon Footprint Audit: Best Practices

As sustainability regulations tighten and investor scrutiny increases, carbon footprint audits are becoming a key fixture of corporate climate strategy. A well-executed audit not only validates your carbon reporting but can also reveal blind spots, strengthen trust with stakeholders, and prepare your organisation for external disclosures.

1. Define your audit objectives and boundaries

Start by clarifying the scope of your audit. Are you focusing on your full organisational footprint or a specific operation, product, or region? Clearly define which scopes (1, 2, and/or 3) you’re covering, and identify the timeframe and emissions boundaries in line with your chosen reporting frameworks (e.g. GHG Protocol or ISO 14064-1).

Ensure your data covers all relevant emissions sources and is classified correctly by scope and category. For Scope 3 emissions, work closely with suppliers and internal departments to fill any gaps.

Use recognised emissions factors from sources like Defra, the IEA, or country-specific databases. Stay consistent in your approach — apply the same factors across reporting periods where possible, and document any updates. Consistency allows auditors to trace calculations and validate comparability over time.

4. Maintain a strong audit trail

All calculations and data points should be backed by documentation. Whether it’s a supplier invoice or an energy meter reading, link every data source to its corresponding emissions estimate. Store files in a system that logs changes, timestamps entries, and allows access for reviewers.

5. Conduct internal checks before the external audit

Run internal audits or spot checks to identify potential discrepancies. Compare data with previous years to spot anomalies and resolve any inconsistencies before formal verification begins. This ensures smoother communication with auditors and reduces the likelihood of a non-conformance.

6. Align your practices with verification standards

Familiarise yourself with standards such as ISO 14064-3, which outlines requirements for validating and verifying GHG assertions. Your processes should support third-party verification, from data traceability to clear methodologies for emission factor application.

7. Empower teams and document roles

Ensure that all departments involved in carbon data — from facilities management to procurement — understand their roles. Assign clear responsibilities for data entry, checking, and approval. This shared accountability strengthens your audit readiness and supports long-term reporting improvements.
